Using an IVC Room With Zoom

Learn why and how to use an IVC system with Zoom at Utah State University.

  Why Use an IVC System?

Fantastic question! Zoom works great and is designed to work primarily on computers and mobile devices. So why use an IVC system? Here's when you may or may not want to use an IVC system with Zoom:

Recommended for:

  • Events that want to utilize both cameras in an IVC room* along with automatic camera tracking.
  • Events requiring high quality audio/video.

Not recommended for:

  • Hosts needing to manage and use breakouts
  • Events using polls
  • Meetings/courses where chats are heavily used**

*Student cameras in classrooms are not available when running Zoom on the classroom computer.
**Chats appear similar to Closed Captions on IVC systems.

1.  Press the Room Controls button on the classroom touch panel and lower the projector screen if needed.
2.  On the classroom touch panel, select the content you'd like to share.

  Adjust Cameras and Audio

  1. Position the camera
    • Select the camera icon in the top right of the classroom touch panel to access camera controls.
    • If in a room with multiple cameras, switch cameras by selecting the camera drop down under the camera conrols.
  2. Adjust audio
    • Adjust room volume (what you hear in the room) using the physical volume buttons on the lower right corner of the classroom touch panel.
    • Ensure the system mute button next to the room volume controls is unmuted (green) to ensure those connected in Zoom can hear you.*
  3. Share content
    • If needed, share content by selecting the blue "Share" button then the source you'd like to share.
    • Stop sharing content by pressing the Stop Sharing button.

  Zoom Controls

If using a web broadcast application in class, record class through Zoom; otherwise, use Kaltura.

  1. Open Kaltura Classroom
    • Double click the Kaltura Classroom desktop shortcut on the classroom computer.
  2. Log in to Kaltura
    • Click "Log in" in the top right of the application and sign in with your A# and password.
  3. Adjust the classroom camera
    • If you don't see the classroom camera displayed in the preview window in Kaltura, select the Kaltura source settings icon icon and ensure the Av.io source is selected as the source.
    • Open the camera controls on the classroom touch panel by pressing the button with a camera icon on the top or far right of the touch panel.
    • While watching the selfview in Kaltura, use the camera controls to move and zoom in/out the camera to the desired position.
  4. Test microphone
    • Remove the microphone from it's charging base and turn it on.
    • Clip the microphone 6-8 inches directly below your mouth.
    • Speak into the microphone and confirm that the audio level is moving in the lower right of Kaltura.
      • If no audio level is visible, ensure the microphone is turned on.
      • If the microphone is on and you still don't see a level, press the Kaltura source settings icon icon and try a different microphone source.

 Tips & Tricks / Request Facilitator

Repeat Questions: Most classrooms do not have microphones for student comments. When a student makes a comment or asks a question, repeat it for students viewing the class through Zoom or on the recording. This not only helps those connecting through Zoom, it helps those in the classroom who may not have been able to hear the comment/question.

Camera Position: When possible, position the classroom camera so that the top half of your body fills the frame. This will help students better see your facial expressions and body language when viewed through Zoom or the recording.

Microphone Position: Position the microphone 6-8 inches directly below your mouth for optimal audio quality. This is especially important when wearing a mask.
